Set clear AI purchase policies before convenience turns into costly risk.

We knew this day would come. AI platforms are incorporating direct shopping and checkout functionality directly within their interfaces.

Microsoft has rolled out a native checkout experience directly within Microsoft Copilot, enabling users to search for products, evaluate options, and finalize a purchase without leaving the AI environment. Other AI platforms are exploring the same functionality.

The idea is simple. A user requests recommendations. The AI recommends products or services. A link to purchase is available within the same interface. The purchase is finalized within the same tool.

For consumers, it means less friction. For businesses, it means a new way to make transactions.

For law firms, it means something entirely new: unmanaged spending and hidden procurement taking place within AI applications that were originally implemented for document drafting and research.

The Issue

Law firms already have lawyers and staff using AI assistants for summarizing documents, composing emails, or researching procedural issues. When these same tools start to provide embedded purchasing functionality, the line between productivity software and procurement platform blurs.

This shift creates risk.

First, there is a problem with billing transparency. When a firm’s staff member buys software subscriptions, data analysis tools, or document services using an AI interface linked to a corporate credit card, those transactions may not go through the firm’s standard approval process. Expenses can quietly accumulate.

Second, there is a problem with data privacy. AI shopping functionality works by querying. When a user searches for “best e-discovery software for our current litigation client,” the search may contain sensitive information. Even if the system is secure, the firm needs to be aware of what data is being queried and recorded.

Third, vendor screening may fall apart. Law firms are used to scrutinizing cybersecurity procedures, insurance needs, and compliance obligations before engaging new vendors. An AI-assisted buying process cuts through this. Convenience trumps due diligence.

What should you do?

The answer is not to ban AI tools.

Law firms are already using them, and a blanket ban makes people hide them and it becomes a shadow-IT problem (use of unapproved software). The answer is to have a firm policy on AI tools and transactions.

A practical policy will address the following questions:

  • Who is allowed to use AI platforms for purchasing?
  • What types of software tools must be pre-approved by IT before payment is made?
  • What information can and cannot be submitted to AI systems during product or service research?
  • How are expenses related to AI systems reconciled?

This policy must be considered in addition to current cybersecurity and acceptable use policies. It should not be a generic policy. Employees should be able to determine whether clicking the “checkout” button within an AI system is considered the same as signing a new SaaS contract.

Companies that partner with managed IT service providers should include them in the development of this policy. An MSP that is knowledgeable about legal workflows can assist in establishing parameters for AI usage, vendor approval, and payments. Well-documented policies will protect both operational integrity and client confidentiality.

The final verdict

AI shopping system integrations will only continue to grow. The system will become more integrated, not less. Law firms should not be alarmed. They should establish parameters before the convenience of AI systems changes internal policies in the background.

A concise policy helps avoid confusion down the line. It maintains the intent of purchasing authority. It safeguards client information. And it ensures that as AI tools develop, the company is leading the charge rather than playing catch-up.
